A Day in the Life of an Operations Director

No two days are the same in Occupational Health

No two days are ever quite the same in Occupational Health, and that is one of the things I enjoy most about my role as Operations Director at David Barber (O.H.) Ltd.

My responsibility is to ensure that our services run smoothly, our clients receive a consistently high standard of support, and our clinical and administrative teams have everything they need to deliver safe, efficient and professional Occupational Health services.

Starting the day: Planning Occupational Health Services

My day usually begins by reviewing emails, checking the diary and looking at the clinics and consultations scheduled across the business.

On any given day, our team may be carrying out health surveillance at a client’s premises, completing management referral consultations, undertaking new starter assessments, delivering vaccinations or conducting drug and alcohol testing.

Good planning is essential. I work closely with our administrative and clinical teams to confirm that appointments, equipment, paperwork, travel arrangements and client requirements are all in place. Occupational Health often involves several moving parts, so attention to detail makes a significant difference.

Of course, unexpected changes can happen. An employee may need an urgent appointment, a clinic may need to be rearranged or a client may require advice about the most appropriate service. Part of my role is responding calmly and finding a practical solution while ensuring that clinical quality is never compromised.

Supporting Employers and Clients

A significant part of my day is spent communicating with clients. This can include responding to new enquiries, preparing service proposals, arranging Occupational Health clinics and discussing how we can best support an organisation and its employees.

Some clients come to us with a clear idea of what they need, while others may be unsure whether an employee requires a management referral, health surveillance or another type of assessment. Although clinical decisions remain with our qualified Occupational Health professionals, I can explain our processes, coordinate the service and make sure the client is directed to the right member of the team.

We also hold regular client review meetings. These give us an opportunity to discuss service delivery, identify emerging trends, gather feedback and consider whether any additional support may be beneficial. Building lasting relationships is extremely important to us. We want our clients to feel that they can contact us, ask questions and receive a helpful and personal response.

Working with Our Occupational Health Team

Although the role involves plenty of emails, spreadsheets and planning, people are at the heart of it.

Throughout the day, I work closely with our Occupational Health physicians, nurses, advisers, technicians and administrative colleagues. This may involve discussing workloads, arranging cover, supporting training or ensuring that everyone has the information and resources required for the day ahead.

I also help coordinate the journey from an initial enquiry or referral through to the completed service. This includes making sure that appointments are arranged promptly, clients receive the correct documentation and reports or health surveillance certificates are made available securely through our systems.

Confidentiality is fundamental in Occupational Health. We take great care to ensure that personal health information is handled appropriately and that reports are only released in accordance with the employee’s consent.

Quality Behind the Scenes

An important part of my role takes place behind the scenes.

As a SEQOHS-accredited Occupational Health provider, David Barber (O.H.) Ltd is committed to delivering services that meet recognised standards for quality, safety, confidentiality and clinical governance.

Maintaining these standards requires ongoing work. My day may include reviewing procedures, monitoring service performance, preparing for audits, supporting quality improvement projects or checking that our administrative processes remain effective and compliant.

We regularly review what is working well and where improvements can be made. Feedback from clients, employees and members of our own team helps us develop our services and maintain high standards as the business grows.

Planning for the Future

Operations is not only about managing today—it is also about preparing for what comes next.

Part of my role involves working with the directors and wider leadership team on business development, staffing, capacity and future service delivery. We consider how we can continue supporting our existing clients while welcoming new organisations without losing the personal and responsive approach for which we are known.

I may spend part of the day preparing a proposal for a potential client, reviewing upcoming clinic requirements or looking at ways to make our systems and processes more efficient. It is rewarding to see a new enquiry develop into a long-term working relationship and to know that our services are helping organisations protect the health and wellbeing of their employees.

The Most Rewarding Part of the Role

There are certainly busy days, and sometimes the diary changes several times before lunchtime. However, the variety is what makes the role so interesting.

The most rewarding part is knowing that the work taking place behind the scenes enables our clinical team to provide an effective service to both employers and employees. Whether we are helping someone return to work safely, identifying the need for further medical advice through health surveillance or giving a manager clear guidance about workplace support, every part of the process matters.

Being Operations Director at David Barber (O.H.) Ltd means balancing people, quality, service delivery and future planning—often all within the same day.

It is a varied and fast-paced role, but it is also incredibly fulfilling. I am proud to work alongside a knowledgeable and committed team and to play my part in ensuring that our clients and their employees receive the high-quality Occupational Health support they deserve.
